Who we are

What data we collect

We collect your Discord user ID, username, and email address when you sign in via Discord OAuth. During onboarding we collect your first name, last name, and region. We collect marketing consent status and the timestamp of consent.

How we use your data

We use your data to provide the Shop-OS service, send transactional emails (account and service notifications), and where you have consented, marketing emails. We do not sell your data.

Lawful basis

We process your data under contract (to provide the service you signed up for) and consent (for marketing communications).

Third-party processors

We use the following processors: Resend (email delivery, US-based, EU infrastructure, standard contractual clauses apply); Sentry (error tracking, EU region); Cloudflare (DNS and network, US-based with EU points of presence); Backblaze B2 (encrypted backups, EU-Central region); VoltHosting (VPS infrastructure, UK/EU).

Data retention

Account data is retained for the lifetime of your account plus 6 years after deletion for legal and tax reasons. Audit logs are retained for 2 years. Backups are retained for 90 days.

Your rights

Under UK GDPR you have the right to access, rectify, erase, restrict, and port your data, and to object to processing. To exercise any right, contact privacy@shop-os.app. You also have the right to complain to the ICO at https://ico.org.uk/concerns/.

Marketing consent

You may withdraw marketing consent at any time using the unsubscribe link in any marketing email or by contacting privacy@shop-os.app.
